The Max Planck Institute Luxembourg for Procedural Law is an Institute of the Max Planck Society, which is Germany’s most successful research organization. The Institute in Luxembourg conducts research in the areas of European law of civil procedure, international litigation and arbitration and dispute resolution in the financial markets.


The Institute has an immediate opening for a dynamic and motivated: 


Purchasing Officer (m/f)



permanent contract
full time, 40 hours/week

Your Tasks

Your job will consist of purchasing the supplies for the needs of the Institute and act as fixed asset officer. Under the authority of the Head of Finance, you will have the responsibility and the authority to, including but not exclusively:


-    Prepare purchase orders and update order details into Adfinity; 
-    Track the orders and ensure timely deliveries;
-    Prepare and carry out calls for tenders;
-    Verify receipt of items by comparing items received to items ordered,
-    Responsible for the contract management;
-    Operate as main interlocutor for suppliers;
-    Ensure that the purchasing is compliant with rules and regulations of the MPI Luxembourg;
-    Advise the departments on value of materials to be purchased and services to be procured;
-    Act as fixed asset officer;
-    Maintain, perform and update the inventory;
-    Research and evaluate potential vendors;
-    Compare the prices of different vendors for gaining maximum ROI;
-    Ensure stock availability and placing orders as and when required;
-    Prepare purchase reports including cost analysis.

Your Profile

-    Bachelor’s or Master’s degree in Logistics, Business Administration, Management or relevant field
-    At least 2 years of relevant professional experience in procurement purchasing, preferably in an international organization working with multicultural and international teams
-    Excellent knowledge in Microsoft Office 
-    Able to handle all kind of information with care and confidentiality
-    Social but discrete and act with professionalism in any event
-    Detail-oriented and can work both independently and as part of a team
-    Interested in our academic context and enjoy working in a truly international environment
-    Experience with Adfinity PSM ( Purchasing and supply management) considered as an asset
-    Fluent in English and French, German and Luxembourgish being considered as an additional asset
